Schedule - Advanced View

This document will cover the basics of the Advanced View within the Schedule Ability and how it can be utilized in lieu of the Patient ability. We'll also cover how it can be utilized in the Treatment Plans and Reports. 

The Advanced View can be found within the Schedule ability by double clicking on an appointment block and selecting the ‘Advanced View’ disclosure triangle under the Patient Photo on the Appointment Detail Window

Note: MacPractice will remember the state of the Advanced View when moving from one appointment to another.  

This window should look familiar to you, as it is set up exactly the same as the Patient Ability. The Advanced View was created to make it easier for offices to review and enter patient information that was not collected previously or requires updating without leaving the Schedule ability. 

  • Primary/Secondary Tab: Contains demographic, employer, and insurance information about the guarantors on an Account.
  • Account Tab: Contains a variety of information related to the entire Account itself is stored. Here, you can identify which Patients are on the Account, and which Portal Users have access to the Account's data (presuming you have the Patient Portal purchased).
  • Patient Tab: The Patient tab is where all the data for an individual patient in an account is stored. 
  • Clinical Tab (Gen 10 and earlier): The Clinical Tab is home to the selected Patient's Clinical information. The Summary takes up the top half of the window, with Clinical-related tabs at the bottom of the window.
    In Gen 11 and up, the Clinical Tab was moved to a separate Ability.
  • Dental Tab (DDS Only): The Dental tab contains both Restorative Charting and Perio Charting for the selected Patient. *We do not recommend charting within the Dental Tab within the Advanced view. This can cause slowness throughout the program while doing so. 
  • Ledger Tab: The Ledger contains records of all procedure codes charged to the patient's Account. It also houses all insurance claim submissions, received patient and insurance payments, as well as account adjustments, write-offs, and statement data.
  • Orders Tab: The Orders Tab (And Orders Ability) allows you to send intra-office Orders to manage and assign tasks and track particular items that need to be addressed within the office.

Treatment Plans with the Advanced View

This Advanced View also makes it easy for your office to create appointments and tie them to new Treatments in just a few clicks. To accomplish this create a new appointment on the Schedule,  open the Advanced View, and under the Ledger tab add a treatment to the Treatment Plan. This will automatically tie the treatment to that appointment.

Reporting with the Advanced View

A majority of the Scheduling reports have a Production tab just below the filters. Within the tab there are two options that pull information that was added to the Ledger through the Advanced View.

  • Prod.: Shows the total of all fees entered through the "Advanced View" of that appointment. Procedures will be counted in this even if the procedure date does not match that of the appointment.
  • Prod. Bal.: Displays the total unpaid portion (both insurance and patient) of all fees entered through the "Advanced View" of that appointment. Procedures will be counted even if the procedure date does not match that of the appointment.

Preferences

Within the MacPractice Preferences, there are a few preferences that may affect how you see the Advanced View on the Schedule:

  • Scheduling > Appointments tab
    • Bring up 'Appointment Detail' window after creating appointment (7.3 and earlier): When enabled, a drop down window will appear allowing you to enter patient information.
    • Set 'Patient' as the default tab for 'Appointment Detail' window: When enabled, the Appointment Detail window will open up to the Patient tab.

  • Scheduling > Ledger tab
    • Default Incident sidebar section: This preference determines how the ledger will appear in Advanced view.
      • Last used Incident: Automatically selects the Incident when viewing the ledger.

      • Last used Treatment Plan: Automatically selects the treatment plan with most recent activity when viewing the ledger.

      • Treatment Plan Associated With Appointment: Automatically selects the treatment plan that contains treatments associated with the selected appointment when viewing the ledger.

      • When Adding Treatments in 'Advanced View’, set ‘Treatment Procedure Date’ to the ‘Appointment Date’: When enabled, the procedure date of the treatment will reflect the appointment date of the selected appointment.
